About CartRover

What is CartRover and what does it do?

CartRover is a web-application that is pre-integrated with all of the most popular e-commerce shopping carts and marketplaces, allowing merchants to easily connect their online order sources to their Warehouse/Order Management System (WMS/OMS) or the WMS system of their 3rd-party fulfillment center for the purpose of order fulfillment.

CartRover is designed to be the bridge between your order sources and your warehouse. There are four steps of communication to complete the order process:

  1. CartRover downloads orders from each shopping cart. 

    • Download schedule can be set as frequent as every 5 minutes, or as infrequent as once per day (per cart). 

  2. CartRover delivers your orders to your fulfillment center, WMS, or OMS. 

    • Delivery schedule can be set as frequent as every 5 minutes, or as infrequent as once per day (per cart). 

  3. CartRover retrieves shipment confirmations (tracking numbers) and inventory levels from your WMS. 

    • Ship Conf schedule can be set as frequent as every 15 minutes, inventory schedule as frequent as once per hour. 

  4. CartRover uploads shipment confirmations (tracking numbers) and inventory levels to your shopping carts. 

    • Ship Conf schedule can be set as frequent as every 15 minutes, inventory schedule as frequent as once per hour. 



 What account types does CartRover offer? Does it matter which I choose?

CartRover offers two account types:

  1. CartRover Fulfillment Account - designed to be managed by a 3PL fulfillment center, allowing them to connect the e-commerce order sources of each of their merchants to their WMS system.
  2. CartRover Merchant Account - designed to be managed by a merchant (seller of goods), allowing the merchant to connect their e-commerce order sources to their 3PL fulfillment center or their own WMS/OMS system.

Note: Each account offers the same functionality, with the only difference being that the Fulfillment account is used to manage connections for multiple merchants, and the Merchant account is used to manage integrations for a single merchant. 

 Which systems can CartRover download orders FROM?

CartRover can download orders from any number of order sources per account.

In CartRover these systems are called "Carts"

 Which systems can CartRover send orders TO?

CartRover can send orders to ONE system per account.

 Which functions does a CartRover integration include?

Most integration typically include the following functions (all on automatic schedules set by user):

Note: Some integrations may include purchase order sync and/or product sync in addition to the functions above. Some order sources do not support shipment confirmations or inventory sync, although the vast majority do.

Basic Setup


 Step 1: Sign up for a CartRover Merchant account.

 Step 2: Connect to your WMS system

CartRover is able to pull orders from different sources and deposit them into any system that manages fulfillment and shipping. We define the recipient system as the WMS (Warehouse Management System). You may be using an Order Management or other system, but for simplicity we will call all these systems by WMS. Your account can only map to one WMS. Contact support if you need more advanced order routing.

Step-by-step guide

  1.  Add any supported WMS to your CartRover account by clicking on WMS Setup in the left navigation area.
  2.  On the WMS Setup screen, select the WMS you use from the Select WMS drop down field.
  3.  Fill out the required information needed for that particular WMS and click OK. See the list below for the setup guide specific to your WMS.

Choosing CSV File allows you create virtually any CSV file format you need without any coding required. You can then send/receive the .csv files via FTP or Email.

 Step 3: Connect to your shopping cart(s)

Warehouse Users

Step-by-step guide

Step 1: Click on the Carts tab on the left hand navigation menu and then click New Setup.  

Step 2: Choose the shopping cart or marketplace that you intend on setting up for your merchant.

Step 3: Fill out the settings on the New Cart Setup page.

Client

In the Client Section you can set which value will be sent to the warehouse in the "Order Source" field. You can also give the cart a description (optional). The cart description is only for viewing purposes in the CartRover interface. 

API Information

The main credentials to connect to the shopping cart will be entered under the API Information section. Each cart will have unique credentials required. View the setup guide specific to the shopping cart for instructions on how to obtain these credentials. You can click the Question Mark at the top of the Cart Setup page or you can view a full list on the right side of this page.


Services

Skip this section until all other fields have been set as desired. Setting each service will turn on the connection to the shopping cart.

Cart Setup

This section displays cart specific settings, such as which statuses an order must be in to be downloaded by CartRover. Unless you have specific custom needs, the default statuses listed will be correct according to your carts standard. Review all fields and hover over the question mark for a description of the field's purpose.

Reject Unmapped Shipping Codes

Disable, Enable

This field should be enabled if you plan to map your shipping methods within CartRover before sending your orders to the WMS. Enable will hold the order in CartRover until the ship code has been mapped. Each ship code only needs to be mapped once. Disable will send the shipping code from the shopping cart straight to the WMS. See Ship Method Mapping for more info. 

Earliest Order Date

Select Date

Orders that were placed before this date will not be pulled even if they meet all other criteria. This prevents accidentally downloading old orders. The first time we pull orders we will attempt to pull orders back to this date as well.

Sync Inventory With Warehouse

COMBINE ALL WAREHOUSES, specific warehouse

Inventory will be synced to the shopping cart from the selected warehouse. Or inventory from all warehouses can be synced. 

Sync Inventory Alias

Master SKU, Alias type(s)

  • All products aliases come from your WMS. Please reach out to CartRover support to see if your WMS supports aliases download.

  • If your shopping cart is using product aliases instead of (Master) SKU, please select alias name.

  • Products that do not contain the chosen alias will be ignored during inventory sync.

Minimum Inventory Level

In order to prevent shopping carts from overselling, items that have less than the Minimum Inventory Level will be set to quantity Zero. 

Note: It is only available to those carts that utilize Available Quantity during inventory sync.

WMS Settings

Some WMS systems have required fields on the cart level. Please check your specific WMS Setup Guide for instructions. 




Shopping Cart Setup Guides

 Step 4: Turn on cart connection

If you did not do so already when entering cart settings, you can turn on your cart connection on the cart setup page. 

If you clicked away from the page you can find it under: the Carts tab →  select the cart →  click Edit Setup →  go to the Services section.

Setting each service will turn on the connection to the shopping cart.

 Step 5: Place test orders in the shopping cart

If you do not already have orders waiting to be downloaded in the shopping cart, it is a good idea to place test orders to verify the connection passes the order information to your WMS as desired. If you are mapping ship methods in CartRover it is a good idea to place a test order using each offered shipping service in the shopping cart. This will prevent you from having to map each ship method one by one over time.
